| Job Details | About the PositionTeamsters Local 959 is seeking a dependable, detail-oriented, and motivated individual to join our Dues Department as a Dues Administrative Assistant. This is an excellent opportunity for someone looking to build a long-term career in a professional union environment. The ideal candidate will be organized, customer service–focused, and eager to learn the financial and administrative processes. Key Responsibilities:Dues Rep Support: - Answer incoming calls on a multi-line system and assist members with account questions, general inquiries and transfer calls to the appropriate dues rep.
- Sign up new members, explain union dues, and assist with onboarding documentation.
- Help maintain physical and digital filing systems for efficient document access.
- Create membership packets tailored to specific employers for Business Agents to deliver to potential members.
- Process and post payments received via check, online payment, or company remittance to correct holding accounts and disburse payments to correct dues rep.
- Process returned mail, update member addresses, or flag accounts that require address verification. Stamp and ensure daily outgoing mail is processed on time.
- Process in-coming mail.
- Maintain a professional and organized front office area, ensuring all paperwork, business cards, and supplies are stocked.
Team Collaboration & Cross-Training: - Assist other Dues Department staff as needed, especially during peak periods or staff absences.
- Learn all aspects of office and dues operations to provide coverage when team members are unavailable.
Future Professional Growth: - Develop a working knowledge of union accounts, financial processes, and dues systems.
- Take on additional responsibilities, including maintaining your own assigned dues accounts, processing monthly reports, and member payments as experience grows.
Skills & Qualifications: - Prior office or administrative experience preferred.
- Strong proficiency with Microsoft Office (Word, Excel, Outlook).
- Excellent organizational skills with the ability to manage multiple priorities and meet deadlines.
- High attention to detail and accuracy when handling financial transactions.
- Professional and courteous communication skills, both in person and over the phone.
- Dependable, punctual, and able to work independently as well as part of a team.
- Reliable transportation and a consistent attendance record required.
- High School Diploma or GED required;
- Must pass a background check (clean criminal record required).
Work Schedule: Monday – Friday, 8:00 AM – 5:00 PM. Some overtime required.
